Overview
The Student Advisory & Health Administration Office is a division of Student Affairs, serving the Boston and Grafton Health Sciences students at Tufts University. Major functions of this office include administration of the Student Health Insurance, Disability Insurance programs and Optional Dental Insurance Plan; collection and oversight of all immunization documentation required by the University and the Commonwealth of Massachusetts. Additional activities include oversight of subsidized fitness benefits through the Wang YMCA, coordination of stress management programs, student health fairs, and oversight of other health related issues and programs as they arise.
What You'll Do
Management of the Boston and Grafton campuses' student health insurance to ensure compliance to State Law and University policy. Oversees the development and dissemination of information to students regarding health insurance requirements, polices, and procedures. Oversees the collection and data entry of all health insurance documentation. Requires working with all Health Sciences administrative offices. Works with the Bursar’s Office and the student billing system to ensure the accuracy of the health insurance charges/credits.
Management of Boston and Grafton Student Health Insurance:
- Serve as the plan administrator of the student health insurance program for all students on the Health Sciences Campuses of Tufts University.
- Oversee ongoing notifications to all students regarding the health insurance requirements along with all the necessary information/instructions for students to either enroll in or waive the student health insurance plan.
- Participate in new student orientation programs throughout the year to provide information regarding health insurance requirements, benefits, policy, and procedures.
- Collaborate with the 6 registrars and student affairs deans for compliance efforts.
- Process insurance enrollment during the open enrollment period and throughout the year for qualifying events.
- Process waivers during open enrollment periods.
Administration:
- Work with Bursar’s Office with insurance financial adjustments for student accounts.
- Oversee the weekly processing of matriculated student admissions data for approximately 1600 new students for 6 schools.
- Work with 6 registrars to process enrollment status changes throughout the year (i.e. graduated, withdrawn, dismissed, leave of absence and returns to enrollment.)
- Process Dental School clearance forms for students.
- Process Leave of Absence and Withdrawal forms.
- Compose correspondence, notices and reports as required/needed.
- Provide back-up support to Immunization Administrator when needed.
- Manage/respond to shared email inbox correspondence as needed
Insurance Accounting:
- Oversee the monthly reconciliation of health insurance invoice.
- Reconcile student health insurance enrollment with the University’s student billing information system monthly, using customized discrepancy queries.
- Oversee notifications to the Bursar’s Office of all charges and/or credit adjustments based on health insurance enrollment changes.
- Collaborate with Bursar’s Office for each semester’s insurance billing process.
What We're Looking For
Basic Requirements:
- High school diploma/GED and 2-4 years of administrative experience or college degree with 1-3 years’ experience.
- Knowledge with advanced Microsoft Office applications, particularly Word, Excel, Access, and PowerPoint.
- Travel as required for training and professional development. Occasional travel to Medford and Grafton Campus
Preferred Qualifications:
- Bachelor’s degree preferred with experience performing detailed work in university, hospital, or business setting.
- Knowledge of health insurance and accounting experience would be helpful.
- Excellent organizational, verbal, and written communication skills.
- Experience with database and creating spreadsheets.
- Outgoing person with experience in dealing with a diverse population including foreign nationals.
- Ability to multitask with attention to detail and ability to maintain accuracy of data and maintain focus.
- Able to always maintain professionalism and to use sensitivity in dealing with person and confidential information.
