Departmental Overview
Berkeley Social Welfare is one of the nation's most prestigious social work graduate programs. As part of the world's leading public university, the School of Social Welfare is training the next generation of social work professionals, scholars, advocates and policymakers dedicated to serving society's most vulnerable members. Known for combining academic rigor with outstanding field practice, the School of Social Welfare offers MSW and PhD programs as well as an undergraduate major. Since 1944, the School has prepared nearly 12,000 social work professionals for leadership positions in the public and nonprofit human service sector. Berkeley Social Welfare graduates are dedicated to meeting the growing needs of low-income families, seniors, foster-care youth, the homeless, school children, hospital patients, domestic violence survivors, recovering addicts, immigrants, refugees and other vulnerable populations.

Responsibilities
  • Oversees and ensures the daily administrative operations run smoothly for the executive's office.
  • Functions as the gatekeeper, understanding the requirements of the executive, in order to prioritize issues according to urgency and to allocate time for scheduled events, travel and meetings.
  • Manages the operations of the Dean's Immediate office, including organizing the workflow into and out of the Office, communicating on behalf of the Dean, maintaining the Dean's intricate calendar, making travel and meeting arrangements, and providing general administrative support to the Dean and Assistant Deans.
  • Makes high level contacts of a sensitive nature, internally and externally requiring discretion and diplomacy.
  • Handles the details of a variety of matters on behalf of the executive.
  • Responds to inquiries from faculty, staff, students and the public on behalf of the executive regarding campus operations, policies and procedures.
  • Coordinates all committee meetings.
  • Creates agendas, distributes briefing materials prepares minutes of all committee meetings, notes action items.
  • Serves as main point of contact with committee members.
  • Organizes adhoc committees appointed by the executive on a broad range of issues.
  • Prepares responses to urgent divisional requests on behalf of the executive.
  • Researches, compiles and summarizes issues, policies and topics; provides background information, talking points and briefing materials for the executive.
  • Participates in the development and implementation of efficient and effective systems for managing information, projects and communications to ensure accurate and timely responses.
  • Other duties as assigned.


Required Qualifications
  • Familiarity with or ability to learn of campus processes, protocols and procedures.
  • Knowledge of federal regulations such as FERPA.
  • Thorough knowledge or ability to learn of common campus-specific and other computer application programs. Analytical/problem-solving skills.
  • Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the Campus as well as the Office of the President and external constituencies.
  • Strong service orientation.
  • Strong skills to communicate effectively with all levels of staff, faculty, alumni/donors, students and external constituencies; both verbally and in writing.
  • Strong skills in analyses and complex problem-solving.
  • Advising and counseling skills.
  • Ability to multi-task with demanding time-frames.
  • Ability to use high-level discretion and maintain a high level of confidentiality.


Education/Training:
  • Bachelor's degree in related area and/or equivalent experience/training.


Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience.
