Position Summary

The Program Coordinator in the Human Resource Development Program plays a key role in this busy academic area which offers both classroom-based and online master's degree programs, and four certificates (HR Business Partner; HR Leadership; Organization Development; HR Analytics and Research). This position is the first point of contact for HRD students and prospects and is responsible for assisting prospects with answering questions about the program, providing guidance with applying, and ensuring that prospects receive accurate and timely information in response to inquiries. The Coordinator is responsible for supporting HRD students with the requirements of the program and registering for classes each semester.

Duties and Responsibilities

Office Operations
  • First point of contact for students and visitors; answer main phone and Directors line when out of office; assist with student registration; assist with program communication to students, staff, adjunct faculty, and HRD faculty; order books and desk copies for faculty as needed.
  • Serve as HRD receptionist, order and maintain office supplies, sort and deliver mail.
  • Support marketing, recruiting, and program visibility efforts.
  • Assist with web changes.
  • Assist with maintaining student/alumni database.
  • Schedule HRD meetings as requested.
  • Contact GA applicants to schedule interviews.
  • Publicize department events, design promotional material.
  • Order necessary supplies for office/classrooms.
  • Assist with processing graduation applications for HRD students.
  • Assist with planning HRD events.
  • Submit pertinent program information to HRCI and SHRM for approval of recertification credits.


Student Assistance
  • Assist students with academic concerns, issue PIN numbers in accordance with faculty advisor requests each semester for registration.
  • Handle confidential issues regarding students in the HRD Program.
  • Assist students with academic audits, and University/Program requirements.
  • Register students for HRD classes as required.
  • Meet with prospective students to discuss HRD Program requirements and application requirements.
  • Answer inquiries of HRD students with the requirements of the program and registering for classes each semester.
  • Assist with online and campus student orientation.
  • Counsel students regarding class scheduling and act as a first line of help (referring more complex issues to the advisor).
  • Act as liaison for other student support issues (SHRM-CP carve out program, Writing Center, Program Tutors, Learning support services, etc.)
  • Support all areas of the HRD program, including the online Student Advisory Council, the HRD Certificate programs, the HRD capstone requirement, etc.
  • Monitor graduation status with the Graduate Studies Office for campus and online students in the HRD Program; maintain accurate graduation list; assist the Director by reviewing academic audits to ensure students will meet graduation requirements. Coordinate audits for Graduation Candidates for online and campus options. Create graduation program, oversee the HRD graduation reception, etc.
  • Monitor the status of campus applications and provide regular and appropriate communications to assist with application process.
  • Monitor and facilitate the application/acceptance process (both processing of application materials and communicating with applicants regarding questions on the program or application process) for campus-based program and assist with processing of online applications as needed.
  • Provide recruiting and admissions support.
  • Process transfer credits and course waivers in Banner and elsewhere.
  • Provide support for HRD certificate programs.
  • Serve as informational contact for part-time, adjunct, and visiting professor regarding HRD Policies, curriculum, and routine course matters.


Public Relations
  • Respond to telephone, emails and person inquiries from prospective students regarding HRD campus requirements for merit scholarships, tuition scholarships, and Graduate Assistant positions that provide tuition and stipend, and graduation requirements for campus and online students.
  • Support Associate Director in marketing, recruiting, and program visibility.


Other responsibilities
  • Assist in generating HRD reports
  • Prepare correspondence with administrative and academic offices, current and prospective students as needed and requested.
  • Keep faculty and students informed of administrative deadlines.
  • Perform additional duties and assist with special projects as assigned.


Minimum Qualifications

  • Associates Degree or substantial administrative experience required.
  • Must be highly proficient at using databases to input and manage data and reports. Excellent computer skills (Microsoft Word, Excel, Outlook; Banner, nolij, etc.). Must have an understanding of how academic departments function and familiarity with student needs and experience from being a prospect through graduating.
  • 5+ years of work experience in an academic or business setting. Familiarity with academic departments at university setting highly desirable.
  • Knowledge of principles and processes for providing customer services. Active listening and critical thinking skills are required. Social Perceptiveness, persuasion, and the ability to find solutions to problems are vital. The individual should possess excellent written and oral communication skills to effectively interact with administrators, faculty, staff, students, prospects, and the public regarding the Human Resource Development Masters level degree programs. Attention to detail is essential as this individual will regularly prepare statistical reports and update student information in Banner. Ability to maintain confidentiality is required. Excellent interpersonal skills needed for interacting with faculty and graduate students, and as a vital contributor as a member of the HRD team.


Preferred Qualifications

  • Bachelors degree preferred.


Physical Requirements and/or Unusual Work Hours

Some lifting of office material (under 15 pounds). Adherence to business casual or business professional meeting attire depending on the activities scheduled on the day.
