Applying professional Student Services concepts, provides the full range of student services to student population served by the organization.
Program Management, Development and Coordination:
- The Undergraduate SSA3 (USSA3) manages and has full functional and administrative responsibility and authority for all aspects of the Undergraduate Programs in the Physics Department (major and minor).
- Serves as the principal historical resource concerning all undergraduate matters.
- Advises and serves as the Department's primary liaison to other campus units.
- Using advanced skills in Student Services, represents the Department as a subject matter expert on campus committees such at the L&S Departmental Advisory Group, System Initiatives (SIS, Educational Technology Services) and the campus's Advising Council to provide feedback to campus officials such a the Chancellor, Vice-Chachellors and Deans on undergraduate campus initiatives and matters that carry campus wide impact.
- The USSA3 analyzes and serves as the advisor to Department Chair, Vice-Chairs, Director of Administration, the Director of Student Services, Department faculty committees, Office of Undergraduate Admissions and Relations with Schools, University community and the general public on curricular needs and trends; recommends changes in course offerings or scheduling to insure continuity and consistency for the undergraduate programs and the minor and budgetary needs.
- Advises on college policies and regulations, in addition to impact of changes in major programs.
- Manages high volume of complex requests and serves as the Lead Course Articulation Officer to evaluate and troubleshoot issues related to course articulations inquiries from students to faculty.
- Supports the Director of Students Services in matters related to campus and UCOP articulations matters.
- Monitors the progress and success to degree for physics majors and intended majors.
- Identifies well qualified students for the undergraduate programs; provides advice on career and advance degree options to students in good standing; reviews and evaluates student records to ensure progress toward degree, and to verify completion of degree for L&S.
- Analyzes transfer work.
- Determines eligibility and makes reommendations to Director of Student Services for Department scholarships;
- Manages and serves as the Lead for developing and launching the critical fall Transfer Course for physics students who are transferred into the program from community colleges or other four year universities.
- Provides resources and experienced advise to insure a successful and smooth transition into Physics at UC Berkeley for all physics transfer students.
- Develops strategies and implements program changes.
- Serves at the Lead Advisor to work on department and campus initiatives to improve, support, help students integrate academic plans with career aspiration and to retain students on our campus.
- Provides advise and support to address URM student needs in the program and the campus.
- May supervise student staff.
- Advises faculty on departmental/school/college and university policies and procedures; reviews students' progress and advises students and faculty on requirements for degree/program completion; identifies students with progression problems and recommends interventions; devises curriculum planning in collaboration with chair/dean and faculty, and with other departments.
Academic Advising and Counseling:
- Advises faculty, students, parents, prospective high school students, international visitors, pre-professional and pre-graduate undergraduate students and the general public on alL matters pertaining to requirements, policies and procedures, and graduation requirements.
- Coordinates and advises students at CalSO Advising Orientation Sessions.
- Provides students with information on research opportunities, scholarships and fellowships.
- Protects integrity of the degree through analysis of work from other departments and colleges when no clear precedent has been set.
- Analyzes and makes recommendations for the resolution of very intricate student issues/grievances such as complex grade disputes, and personal crises.
- Usings advanced advising skills, counsels and makes referrals (L&S, Career Center, Student Health Center, Disabled Student program, Transfer Program, University Police, Student Learning Center, etc ) for students with academic or personal problems that may affect academic performance.
- Suggest alternatives and options toward improvements of individual situations to achieve academic goals.
- Serves as the Lead Expert Advisor and Liaison to the Physics Berkeley Connect Program to support faculty Director and Assistant Director and Berkeley Connect Fellows.
- Advises students in various student organizations.
- Creates and maintains the undergraduate major handbook and other relevant student materials including those maintained on the Department website.
- Provides support with all aspects of the annual commencement ceremony for the Physics and Astronomy Departments and in coordination with Cal Performances, Public Ceremonies and ASUC. Coordinates and supervises student volunteers are commencement.
Instructional Support and Scheduling:
- Fully manages all aspects of textbook needs for the Department.
- Collects order information, contacts publishers and coordinates and places all orders with campus textbook stores.
- Manages and maintains departmental textbook database.
- Manages all online homework accounts and is primary contact with publishers for these accounts
- Manages all special/one time room request and events for the Departments.
- Assists with regular terms and summer scheduling as needed.
- Independently verifies and insures department compliance with Registrar guidelines and constraints for all scheduling and deadlines.
- Manages all DSP room request accommodations.
- Schedules meetings and special events sponsored by the unit, such as the beginning of the term instructor meetings, prelims, and poster sessions, etc.
- Manages and maintains sensitive and confidential files ranging from course curriculum files, academic records and submission.
- Manages confidential exam duplication for all courses.
- Is back up to Lead Scheduler, USSA3 AND GSSA3 for Unit.
- Assists with all aspects related to Graduate Student Instructor (GSI) position advertising, recruitment and data entry
Career Program and Counseling:
- Manages and has full functional responsibility to establish, organize and implement Career Path programs and resoures for undergraduate students in the Physics Major, as well as students in STEM.
- Manages and working independently, organizes workshops tailored to job search strategies, workshops on resume and LinkedIn profile building and workshop on mock interviews to improve interviewing skills.
- Develops and maintains alumni recruitment networks for purposes of career counseling.
- Works with and advises the campus Career Center and other units to build a strong network of alumni speakers, job recruiters and career opportunities to cultivate potential employers.
- Assists with career events for graduate students in the Physics PhD program.
- Manages and develops workshops in preparation to applying to graduate programs.
- Recruits panelists and provides critical imformation on application process, fellowships.
- Using expert knowledge, works with the Mathematical and Physical Sciences Diversity Program Office to develop initiatives related to graduate school preparation and career opportunities to support and provide resources to all students and to support the focused effort URM students and in the program and in STEM.
- Employee development as needed.
- Assist with other departmental duties as needed including committee participation and non-academic department functions participation.
- Working knowledge of advising and counseling techniques.
- Knowledge of or ability to learn University-specific computer application programs and knowledge of University and departmental principles and procedures involved in risk assessment and evaluating risks as to likelihood and consequences or comparable knowledge.

Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience.
