Position Summary
The Department of History in the College of Arts and Sciences at the University at Buffalo is seeking a Staff Assistant to provide professional administrative support to the department. You will be part of team and the responsibilities will include (but not limited to):

  • You will support the departmental efforts to recruit undergraduate majors and minors and graduate students while working closely with the Director of Undergraduate Studies (DUS), the Director of Graduate Studies (DGS), the Director of the Masters Program (DMP), and the department Chair.
  • You will assist with the oversight of undergraduate research initiatives and with other special opportunities for History students.
  • You will be responsible for creating, maintaining, and administering alumni outreach initiatives, including support for alumni development efforts and record-keeping, alumni mentoring programs for history students, communicating with alumni and supporting chair in such efforts, and support for and coordination of alumni events.
  • You will assist DUS, DGS, and DMP with ongoing assessment of undergraduate and graduate programs, as per Middle States requirements, track graduate student applications through Gradmit,
  • You will assist the Assistant to the Chair (ATC) with course scheduling and the comprehensive program review.
  • You will provide support to chair in identifying students and faculty eligible for awards and honors, and in assembling information and other materials necessary for putting together such cases for official review.
  • You will maintain and update the History Department website in consultation with faculty webmaster and provide support to chair for the Department’s annual newsletter, History Matters.

Minimum Qualifications

  • Bachelor’s degree required.
  • Must have a "customer-service" oriented attitude and an ability to work with a diverse population.
  • The successful candidate will have the requisite computer and reporting skills necessary to accomplish all of the above and anticipated future tasks. These skills include, but are not limited to, the following:
    o Competency using the Microsoft Office suite of software.
    o Demonstrated ability to make use of university student, faculty, and staff databases and information systems competently.
    o Initiation and implementation of spreadsheets and databases as necessary in order to perform the duties of the job.
    o Demonstrated experience with the forms, processes, and web applications necessary to facilitate student, faculty, and staff personnel, financial, and other transactions pertinent to job duties is expected.
    o Knowledge of systems, policies, and procedures associated with course scheduling and related tasks.
    o Excellent oral and written communications skills, including the ability to communicate clearly, effectively, and in a professional manner with faculty, staff, students, and UB administrators and personnel.

Preferred Qualifications

  • Knowledge of HUB and SIRI including the ability to access and utilize student/course data using HUB/SIRI and new Student System.
  • A solid understanding of UB and relevant State and UBF policies, rules, and regulations.
  • Training in UB-specific systems, procedures, and protocols. Such skills and knowledge must also be kept up-to-date through periodic attendance at training sessions, seminars, and workshops-both basic and advanced-as deemed appropriate by departmental supervisor.
