Tufts University School of Dental Medicine (TUSDM) offers one of the most forward-looking educational environments in dental medicine in the country. The Operations Administrative Coordinator will provide administrative support and communications for the office of Finance and Administration and will oversee daily operation of office. S/he will plan and coordinate meetings and may also coordinate programs and/or projects for departments. The individual will be the first line resource and back up for all academic and administrative departments across the school. The individual is the School’s liaison with Facilities and Operations. The individual coordinates teldata, furniture, IT and all small facilities projects for the School that are too small for construction management, but nonetheless needs oversight by the School.
S/he will be responsible for working with the facilities and construction management and will work with the administration to prioritize and make strategic decisions on small to midsized capital projects. The individual will work with facilities and construction management to monitor projects to ensure they are completed in a timely manner and within budget.
The position will also be responsible for managing building access requests. This includes working with public safety and administration to develop an access matrix outlining the various access levels. On an ongoing basis the individual will receive new requests and process them; as well as handle special requests for events.
The individual will be the point of contact for all questions and concerns and for all communications to individual departments, TUSDM community, and facilities/construction.
High school diploma/GED and 5+ years of administrative experience OR a bachelor’s degree and 3+ years of experience.
Requires advanced knowledge of Microsoft Office suite including word processing, editing and graphics functions, spreadsheet and database knowledge.
In addition, bookkeeping or basic accounting knowledge and excellent organizational and interpersonal skills.
Individual must have excellent communication and interpersonal skills to handle the high volume of patients and students that come through the office.
Experience in a health care setting.
