Position Summary
The College of Arts and Sciences is seeking a staff assistant. In this role, you will provide high-level administrative support to the Associate Deans and and other senior leaders in the College. You will be expected to work with a great deal of initiative and autonomy in the following responsibilities:
  • Provide administrative support to Associate Deans and senior leaders. This involves scheduling meetings, preparing materials, and ensuring details are finalized for all meetings and events.
  • Maintain and review calendars regularly to prioritize and optimize time.
  • Manage front office operations: serve as main point-of-contact and communication for Dean’s office; manage department deliveries; provide assistance to in-person visitors and callers; open and close the office ensuring office security.
  • Supervise all student employees in the Dean’s office. This requires posting, interviewing, hiring, training, scheduling, mentoring, setting priorities and assigning tasks and projects for multiple hourly and work study student employees.
  • Provide support to Associate Deans and senior leaders for special projects including planning and other efforts from University leadership including preparing project and/or presentation materials.

Minimum Qualifications

  • Associates degree required.
  • 2 years office administration experience.
  • Strong written and oral communication skills
  • Strong computer skills, including Microsoft products and Zoom.
  • Incumbent must be able to maintain the highest level of confidentiality and respond with tact and diplomacy in high pressure or sensitive situations.
  • Must be able to manage competing priorities, display flexibility and initiative, and work with a diverse constituency in a face-paced environment.

Preferred Qualifications

  • Bachelor’s degree preferred.
  • Prior experience at a large research university center, preferably at the University at Buffalo (UB).
  • Familiarity with UB policies, procedures and systems.
