Position Summary
The University at Buffalo Libraries seek a collaborative and detail-oriented professional to provide administrative support to the University Libraries Human Resources ( LHR) unit, part of the Office of the Vice Provost for University Libraries. As a highly visible staff member, the Human Resources Assistant liaises with all parts of the Libraries to provide excellent customer service. The successful candidate will exercise sound and independent judgment to perform tasks and responsibilities to meet the needs of the Libraries faculty and staff.
As the Human Resources Assistant, your primary responsibilities will include:
- Performing complex, varied and confidential administrative functions in support of the University Libraries, including preparing and distributing personnel-related correspondence and processing transactions in the Electronic Personnel Transaction (ePTF) system.
- Providing excellent customer service when responding to inquiries received via phone or submitted to LHR through email.
- Processing appointment, re-appointment, termination, change in pay and change in supervisor requests for student assistants, ensuring that all proper documentation is on file.
- Providing administrative support to dossier preparers for faculty appointments, reappointments, continuing appointments and professional permanent appointments.
- Assisting with the Libraries’ recruitment efforts including advertising positions, scheduling, travel accommodations and providing updates to candidates.
- Monitoring the appointment dates of Libraries faculty and staff to ensure that renewal notices are completed within contractual guidelines.
- Assisting with the administration of the performance management process, including sending reminder emails and answering questions related to the Performance Online Program (POP).
- Completing assigned tasks necessary for office operations such as planning special events and ordering supplies.

Minimum Qualifications
- A bachelor’s degree from an accredited college or university.
- Ability to communicate effectively with a wide range of constituents, both orally and in written form, while providing a consistently high level of customer service.

Preferred Qualifications
- Previous experience supporting human resources functions.
