Departmental Overview

The College Writing Programs (CWP) is an instructional unit in the Undergraduate Division of the College of Letters and Science. The unit's mission includes introducing lower-division students to the conventions of academic writing; helping upper-division students enhance their skills in composing essays and writing research; offering instruction to students in English as an additional language, professional communication, digital rhetoric, creative writing, and public speaking; providing training to graduate students in the theory and practice of teaching composition. CWP also maintains an active summer instructional schedule, offering a large summer program in English Language Studies for international students (SELS), and a smaller program in creative writing (SCWP). Approximately, 1,800 Berkeley students are instructed during the fall and spring, and 2,000 students are instructed during the summer. The College Writing Program has a total budget of approximately $3 million.

CWP consists of a Director, the Program Manager (Administrative Officer 3;1.0 FTE), Course Scheduler (Curriculum Planner 3 1.0 FTE), and Program Assistant (Administrative Assistant 3 .75 FTE) as well as 3-4 student assistants, 30 academic year Lecturers. In spring and summer, CWP employs two Summer Program administrative teams (4-5 positions) and in summer, 50-60 visiting lecturers.

Responsibilities

Academic and Staff HR
  • Interprets complex academic personnel policies, procedures, and practices from a variety of sources (labor contracts, Office of Faculty Equity and Welfare); determines the relevancy of appropriate policies, applies them effectively.
  • Facilitates and responsible for the preparation and timely submission of non-Senate personnel cases (appointments, merits, excellence reviews) and searches/recruitments on AP Recruit.
  • Counsels non-Senate faculty on moderate to complex work issues such as medical leaves and summer compensation limits.
  • Submits hires/separations, merits/promotions, and other approved actions to SHARE regional services for entry into UCPath. Investigates discrepancies in salary history, missing payroll, etc.
  • Coaches 1.75 staff FTE. Conducts staff performance evaluations, recommends merit increases and special performance awards, updates job descriptions, submits reclassification requests, and takes disciplinary action when necessary.
  • Recruits, hires, trains, and supervises student assistants; oversees project timelines and workflow.


Financial Management
  • Develops and prepares complex budgets and financial reports.
  • Provides reports on costs (Temporary Academic Support, Reading & Composition funding, etc.), forecasts major expenditures, identifies potential budget overruns/shortfalls, and develops strategies for conserving fiscal resources and best use of revenue (Summer Sessions and Concurrent Enrollment).
  • Reconciles academic and staff payroll to ensure costs are with the appropriate fund sources on a regular basis and corrects any identified errors.
  • Leads business operations in partnership with Program Assistant (AAIII), ensuring procurement, reimbursements (travel and entertainment), and ledger financial reconciliation are in compliance with university policies.
  • Maintains close and effective communication with the staff in the Dean's Office regarding budgetary issues.


General Administration/Faculty Support
  • Manages, coordinates, and administers a range of administrative operations for the College Writing Programs.
  • Advises and works with Director on the annual operating budget to ensure budget priorities are in line with strategic planning and the needs of students.
  • Collaborates with Dean's Office and Programs Scheduler to project course enrollments based on Annual Writing Placement Examination results and analysis of R&C course demand, dynamically responds to trends.
  • Assesses current business processes and identifies areas for improvement.
  • Oversees office space/facilities, coordinating maintenance, security, and usage of shared spaces, as well as ordering and updating computer equipment and office supplies. Maintains safety and emergency programs.
  • Assists in the design and drafting of organizational website content.
  • Liaisons with IT Client Services on behalf of faculty.
  • Manages logistics and communications for program events.


Professional Development
  • Participates in professional development workshops and meetings to keep up to date on relevant training and career interests.


Required Qualifications
  • Thorough knowledge or the ability to quickly learn of University rules and regulations, processes, protocols and procedures for budget, accounting and fund management, and / or personnel management.
  • Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Solid knowledge or the ability to quickly learn of common University-specific computer application programs (CalAnswers, UCPath, AP Recruit, Campus Solutions, BearBuy).
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Bachelor's degree in related area and / or equivalent experience / training.
