Departmental Overview

The UC Berkeley Library is an internationally renowned research and teaching facility at one of the nation's premier public universities. In a highly diverse and intellectually rich environment, Berkeley serves a campus community of 25,500 undergraduate students, 10,300 graduate students, and a faculty of 1,500. The Library comprises 24 campus libraries - including the Doe/Moffitt Libraries, the Bancroft Library, the C. V. Starr East Asian Library, Jean Hargrove Music Library and 18 other subject specialty libraries housed in buildings on the Berkeley campus. With a collection of more than 12 million volumes and a collection budget of over $18 million, the Library offers extensive collections in all formats and robust services to connect users with those collections and build their related research skills. The Library is supported by a General Fund budget of over $45 million, approximately 500 restricted and unrestricted funds totaling another $30 million and employs over 400 employees which include faculty, librarians, professional and support staff. The Library also employs approximately 600 students throughout the academic year and summer.
The Library workforce is concentrated on the central campus but include staff stationed in Richmond (two sites).

Library Business Services, a unit within Administrative Services provides financial management, accounting, budgeting, purchasing, payroll system administration, inventory control, contract and grant management, and oversight of recharge operations. Library Business Services establishes internal policy and procedures for administrative functions and business services for the University Library Division and its 24 subject specialty libraries.


  • Review and process travel and entertainment reimbursements, student awards/fellowships, and payment requests.
  • Function as a resource to staff on business and finance policies and procedures.
  • Serve as liaison with Berkeley Regional Services/Campus Shared Services on issues related to business and financial services.
  • Review and submit bank deposits for incoming cash and cash equivalents.
  • Review the general ledger on a monthly basis for general propriety and accuracy, and follow up on unusual items including verifying amounts to supporting documentation and resolving exceptions.
  • Prepare financial journal transactions for approval.
  • Prepare financial reports for internal department clients.
  • Participate in audits of internal records and processes, and prepare recommendations for changes as needed.
  • Reconcile appropriations and expenditures, monitor fund balances and work with other campus departments to comply with UC funds guidelines and policies (i.e. Title VI funds, funds received from Haas School of Business, School of Law, Institute of East Asian Studies, UCOP, etc.).
  • Follow up with various UCB departments or other UC campuses to ensure funds received in a timely manner.
  • Run monthly Deficits To Be Cleared report and clear overdrafts on all of the Library funds.
  • Assist with Financial Key Controls quarterly process.
  • Review and reconcile expenses charged to chart strings as they appear on monthly general ledger by matching entries with documents on file, supplies and expenses, equipment, automation, miscellaneous charges and recharges.
  • Provide backup role for Bearbuy, BFS and Millennium transaction processing. Other duties and projects as assigned.

Required Qualifications

  • Strong working knowledge of financial processes, policies and procedures.
  • Knowledge of financial data management and reporting systems.
  • Must be proficient in use of Microsoft Office and common desktop/web applications.
  • Strong interpersonal skills, analytical skills, service orientation, active listening, critical thinking, attention to detail, ability to multi-task in a high volume environment, organizational skills, sound judgment and decision-making.
  • Skills to provide coaching and mentoring to support staff.
  • The incumbent should have a strong commitment to providing quality customer service and be able to work independently or on a team as participant or team-leader.
  • The incumbent should have the ability to perform detailed, accurate work; to communicate effectively verbally and in writing; to interpret, apply, and explain policies and guidelines.
  • Exercise continuous learning in order to stay abreast of new Campus, local, national and international business and tax rules as applies to accounts payables.
  • Interact successfully with a range of diverse personalities and communication styles in order to work within a diverse, multi-cultural environment.
  • Move a variety of assignments forward simultaneously, to handle competing priorities once overall priority guidelines have been defined.
  • Maintain a flexible attitude and willingly accommodate changing assignments and workflows.
  • Be punctual and adhere to a defined work schedule.


  • Bachelor's degree in related area and/or equivalent experience/training

Preferred Qualifications

  • Demonstrated experience using UC Berkeley campus administrative systems including but not limited to BearBuy (or comparable accounts payable application), BFS, Campus Deposit System (CDS), Student Information Systems (SIS), Campus Reimburse System and CalAnswers to enter financial journals, orders, track vendor payments, and to gather and analyze financial data.
  • Demonstrated experience with fund accounting and UC Berkeley chart of accounts.
  • Strong computer skills are required to be able to work on word documents, spreadsheets and database programs, conduct research via the Internet and manage complex spreadsheets for analysis and tracking purposes.

Salary & Benefits

$24.14 - $34.87 per hour. Salary commensurate with experience.
