The Administrative Assistant II serves as point of contact and provides administrative assistance to the department by supporting front office and academic program operations. Customer service skills are required as this position frequently interfaces with students, staff, and faculty. Specific job duties and responsibilities include but are not limited to:
- Monitors phone lines and email accounts, assists visitors, schedules meetings, maintains calendars for shared spaces. Maintain office supply inventory, oversee copy room, receive/distribute mail and packages, maintain FedEx account. Supervise student assistants. Responsible for correspondence from the department and chair.
- Prepare overrides, independent study/research, class conflict, and grade change forms for undergraduate students and serve as liaison with COSAS to verify processing of forms. Support the Undergraduate Coordinators in maintaining course schedules, coordinating large room requests, and updating the undergraduate catalogs.
- Maintain the Chemistry Placement Exam by supporting with student registration, uploading login data to the testing system, and verifying student enrollment and grades. Perform general course advising for undergraduate students.
- Maintain department/course files, including proper retention of documents and historical information. Gather data and assist with reporting and accreditation. Responsible for creating and maintaining alumni database.
- Serve as IT Liaison. Submit telecommunication requests, quotes and purchase of computers, laptops, monitors, etc. for the department. Submit IT requests for service. Maintain department website and social media pages with up-to-date information.
- Serve as staff representative on the department's Undergraduate Curriculum Committee, scheduling meetings, providing updates, taking meeting minutes, and conducting follow-ups.
- Assist faculty with course preparations by submitting text book orders on a semester basis; serve as liaison with publishers for textbook review requests.
- Maintain occupancy records of PSB, assign and coordinate clean out of offices as needed. Submit work orders for maintenance and cleaning requests as needed.
- Provide administrative assistance to the Undergraduate Coordinators and Chair and assist with tasks and projects as needed.
