The University at Buffalo Libraries seek an Annex Automation & Operations Manager (Senior Staff Assistant) to oversee the daily activities of the Libraries Annex (high-density off-site library) and provide high-quality service to library users. The Annex Automation & Operations Manager will be responsible for maintaining the Libraries Annex collection of over one million items and have the opportunity to influence important operating policies, improve efficiency and incorporate emerging technologies into processes. The incumbent will oversee the fulfillment of physical material requests that originate from Delivery+, the Libraries’ document delivery service, and other borrowing institutions making sure requests are filled within expected service parameters. This individual will ensure safe and effective operation of the Annex by developing and maintaining a team environment that is inclusive and conducive to positive employee morale and growth.
As the Annex Automation & Operations Manager, your key responsibilities will include:
Managing all operations in the Annex and collaborating with Delivery Services staff to establish priorities, develop policies and procedures, and formulate special projects.
Maintaining the physical collection, including root cause analysis and implementation of corrective actions for all inventory discrepancies or related process failures.
Implementation and management of an automated storage and retrieval system (ASRS) to ensure optimal functionality resulting in effective and efficient storage and retrieval of library materials.
Maintaining dual inventory systems until implementation, migration and consolidation of the new ASRS is complete, including the ingest, retrieval, and withdrawal of library material from both inventory systems.
Building and maintaining a strong partnership with the ASRS vendor and working closely with them to perform routine and preventative maintenance for both the grid and robotic systems.
Remaining current with robotic inventory technologies and best practices; making recommendations and implementing changes to improve process effectiveness and efficiency.
Supervising staff charged with inventory management and Annex operations, promoting a positive team environment; establishes safety regulations according to OSHA standards and departmental guidelines.
Operating a high-lift order picker to retrieve and shelve library materials housed in the Annex collection.

A bachelor’s degree from an accredited college or university.
Two years of supervisory experience coordinating the work and activities of others.
Two years of experience overseeing operations in a fast-paced environment, including the development and implementation of efficient workflows to ensure service parameters are met.
Proven proficiency in the use of computer applications used to manage inventory and/or fulfill patron/customer requests.
Proven evidence of organizational and time management skills with the ability to develop specific goals and plans to prioritize, organize, and accomplish daily tasks; experience successfully working in an environment that requires a strong attention to detail and a high degree of accuracy.
Strong project management skills to lead or coordinate multiple projects using creativity, flexibility, and adaptability when changes arise.
