Overview

The University of St. Thomas invites qualified candidates to apply for a Coordinator III position within the Opus College of Business. The Coordinator for graduate business admissions assists with qualifying prospective students for our graduate business degrees and certificates. As the first point of contact for inquiring students, this position builds relationships with potential students to assist in increasing enrollment in St. Thomas graduate business programs. This is a unique opportunity to play a critical role in developing the sales pipeline needed to achieve our program growth goals. This position will also be responsible for making regular updates to webpages for the graduate business programs, including event pages across programs, and regular revisions with updated or new content. Working closely with the assistant and associate directors on the team, this position will be working within Salesforce to manage new leads through outgoing and incoming calls, emails and messages, by answering questions and managing all communications with new leads and those who have not attended an event or started an application. This includes pro-actively reaching out to candidates as well as contacting candidates based on tasks assigned from an automated marketing plan, while tracking all interactions to qualify prospects for the graduate business programs. Daily responsibilities include communication with a large number of prospective students through heavy phone outreach, as well as data entry and auditing Salesforce through reports. Personal e-mails are also expected. The coordinator will use technology (Salesforce, Pardot, Banner, Cognos, T4.), to support the communication plan to prospective students and make regular updates and changes to the website. Through heavy use of outgoing contacts via phone, email, IM, etc., the coordinator cultivates, engages, grades, and persuades prospective students to refer to an assistant or associate director of admissions. Always qualifies conversation and generates next steps. A successful candidate will be self-motivated, goal-oriented, with strong organizational and interpersonal skills. This is a sales-like admissions approach, working with specific graduate business degrees with enrollment and revenue goals assigned. ROUTINE DUTIES AND RESPONSIBILITIES:Daily responsibilities include communication with a large number of prospective students through phone outreach, personal e-mails and notesWeekly/regular checking of audit reports to ensure Salesforce data is accurate and up-to-dateDaily gathering information about new leads to assist with grading of candidates to the programsRegularly updating program webpages with needed revisions or new content, along with adding event contentLogistical support for recruiting events, including room reservations and catering ordersMass email creation and sends through Pardot, our email marketing system This is a full-time, benefits eligible position. Qualifications

Minimum qualifications: High school diploma or the equivalent and four (4) years of administrative or sales experience, preferably in an academic environment. Preferred qualifications: Bachelor’s degree and previous experience with cold calling and admissions systems. Knowledge of: Graduate education programs; Exceptional communication and interpersonal skills; organizational and follow-up skills; techniques for dealing with the public, in person and over the telephone; Ability to work well in a team environment; High energy and enthusiasm; eager to be on the phone and find opportunities by building relationships; Experience using CRM software is a plus (Salesforce.com desirable); correct business English, including spelling, grammar and punctuation. Skill in: Performing technical, specialized, complex, difficult or basic technical office support work; reading and explaining rules, policies and procedures; proven technical and organizational skills; maintaining accurate records; preparing clear and concise reports, correspondence and other written materials; understanding and following oral and written directions; using initiative and independent judgement within general policy guidelines; working without close supervision in standard work situations; contributing effectively to the accomplishment of team or work unit goals, objectives and activities; extremely detail-oriented with ability to organize, prioritize, and manage time, tasks and information; self-directed, highly motivated; strong sense of customer service; establishing and maintaining effective working relationships with those contacted in the course of the work.
