Coordinator for Residence Hall Operations

Position Summary

The Coordinator for Residence Hall Operations is responsible for coordinating and overseeing on-going and ad hoc projects related to the physical plant operations of the University's twenty-six residential facilities. The position serves as a liaison between Residence Life and Facilities Management, Custodial Services, Telecommunications, Environmental Health & Safety, Conference Services and the Wildcard Office, as well as vendors and sub-contractors providing service in the residence halls. The position shares responsibility with other Residence Life professional staff for assisting in training activities, database management and rotating weeknight and weekend on-call responsibilities. 12 month on-campus residency required (furnished one-bedroom apartment, utilities, cable TV and internet access included).

Duties and Responsibilities

Administer sub-contract and serve as departmental liaison for moving services: provide direct supervision of moving crews; coordinate requests for weekly service; oversee moving services budget and expenditures; supervise removal, disposal and installation of capital furnishings; insure completion of Residence Life and FMS punch-lists for halls and appropriate room set-ups for hall openings and hall closings; maintain a thorough assessment of residence hall furnishings and furniture inventory; manage storage areas; oversee extra-long mattress and other special furniture requests. Assist in the development of and administration of capital renewal budgets and projects; develop and administer a comprehensive plan for cyclical furniture replacement; Assess and establish priorities for lounge and common area furnishings and renewals.
Serve as departmental liaison with Facilities Management and Custodial Services: process and track daily requests for individual room and common area maintenance and custodial service; provide progress updates on maintenance requests to staff and students; conduct regular on-site inspections with Area Coordinators and Custodial and Maintenance staff to ensure optimal levels of cleanliness and repair; provide appropriate follow-up with students and staff. Respond to student and parent inquires and concerns. Oversee and coordinate student property damage claims related to facilities breakdowns.
Administer residence hall sub-contracts and serve as departmental liaison for:

  • Refrigerator Rental Program: coordinate with outside vendor; oversee drop-off and pickup in residence halls
  • Linen and Carpeting Sales Program: coordinate with outside vendor; oversee drop-off and pickup in residence halls
  • Extermination Services: process service requests and work with service representative to establish and maintain a sound preventative maintenance schedule.
  • Laundry Services: process service requests and work with service representative to establish and maintain a sound preventative maintenance schedule.
  • Door and Access Committee: Coordinate weekly meetings with Facilities Management, Wildcard and Public Safety staff to address door and access projects and concerns

Serve as departmental liaison with:
  • Wildcard Office: attend scheduled meetings; coordinate maintenance, repair and programming requirements for hall card access system.
  • Environmental Health and Safety: attend scheduled meetings; manage fire safety program for the residence halls; coordinate fire drills and inspections with Area Coordinators and other university departments;
  • Conference Services: attend scheduled meetings; collaborate to schedule summer hall cleaning and renovations.
  • Telecommunications: Coordinate maintenance and repair of connectivity or other related issues in the halls.

Collaborate with fellow Residence Life Staff Members to:
  • Assist with development and presentation of RA training and in-service programs relative to residence hall operations, environmental health and safety and other topics as needed.
  • Develop and disseminate educational material related to residence hall operations.
  • Participate in nightly on-call rotation as primary and second-tier support for graduate staff; respond to crisis situations on campus, as needed.
  • Participate in weekly office meetings and weekly meetings with supervisors.
  • Oversee, in conjunction with Coordinator for Housing Services, Graduate Resident Director collateral assignment for Housing Services.
  • Assist, as needed, with Residence Staff Selection.
  • Participate in departmental functions and events, as scheduled.

Collaborate with Coordinator for Housing Services to oversee check-in of Early Arrival Students, Mid-Year Room Changes and Senior Week. Assist with students transitioning to new housing assignments between semesters.
Develop and administer key control system for departmental master cards and keys; coordinate card and key access for non-departmental users and vendors.
Other duties as assigned.

Minimum Qualifications

  • Bachelors Degree Required.

  • Minimum Work Experience: Two years experience in residence hall management.

  • Specific Job Knowledge: Strong interpersonal and human relations skills; effective organizational, planning and budgeting skills; ability to collaborate with professional, paraprofessional and administrative staff; appreciation for the mission and values of Catholic Higher Education.

  • Work Skills: Excellent written and oral communication skills.

  • Equipment Knowledge: Computer literacy in basic word-processing and data-management programs. Computer literacy in basic word-processing and data-management programs. Knowledge of Odyssey HMS ResCenter or similar housing software preferred.

Preferred Qualifications

  • Formal Education: Masters degree in Student Personnel Services, Higher Education Administration or related field strongly preferred;

Physical Requirements and/or Unusual Work Hours

  • The Coordinator for Residence Hall Operations interacts extensively with other University departments and student paraprofessional staff. Consequently, it is not uncommon that meetings and events may need to be scheduled beyond traditional work hours. The Coordinator for Residence Hall Operations should anticipate the need to work early mornings, into evenings and on weekends, as necessary, especially during student training and hall preparation periods.
