Under the general supervision of the Payroll Systems Manager, to perform complex technical tasks in the preparation and processing of community college district payrolls; to maintain and update personnel/payroll database relative to payroll functions for District employees; to maintain sick leave, vacation, and other payroll related records; and to perform other related work as required.

  • Prepare district payrolls; receive and verify coding of payroll documents; add additional codes as needed; input data and post to county timesheets, via district and county systems; prepare and audit reports to verify accuracy of data entry.
  • Input data, update, audit, and maintain district and county databases for personnel/payroll related records.
  • Responsible for processing and monitoring of voluntary payroll deductions and distribution of vendor checks.
  • Execute a variety of complex computations involving gross pay, retirement, taxes, contract calculations, retroactive payments, and leave records.
  • Coordinate processing of payroll deductions for health and welfare benefits and disability payments with the Benefits Department, Human Resources Department, and Risk Services Department.
  • Interpret and apply payroll related policies, procedures, and laws from bargaining unit contracts, State Education Code, Federal and State agencies, County Department of Education, retirement agencies, and Board Policies.
  • Perform timecard audits and assist with special payroll related projects.
  • Respond to requests for information and assistance from district staff, outside agencies, and the public as appropriate.
  • Research and reconcile employee payroll problems, providing follow-up necessary for resolution.
  • Compute all salary calculation contract adjustments for sabbaticals, mid-year contract changes, late hire contracts, and terminations.
  • Assist employees with questions related to their pay warrants and W-2 forms. Coordinate delivery of hard copy pay warrants and W-2 forms to employees.
  • Coordinate payroll input with various deadlines from district personnel and county office.
  • Independently prepare correspondence, reports, spreadsheets, and other payroll related documents using various computer software and reporting tools.
  • Provide written and verbal information in response to employment verifications, unemployment audits, and retirement systems (PERS, STRS, and PARS) inquiries.
  • Provide copies of payroll records for employee requests and legal matters, including subpoenas, as required.
  • Maintain a variety of financial and statistical records and files related to payroll; obtain, verify, and post information as necessary.
  • Perform other related duties as assigned.
