Position Summary
The Business Operations Manager position is a vital role for the NYS AHEC System in maintaining operational compliance with the timely and accurately financial reporting of all expenditures under both the HRSA and SDOH grants. This role is the primary contact person to work with the NYS AHEC System center directors or designated staff to reconcille invoices and maintaing accurate recordkeeping thereto for annual budget auditing compliance. The Business Operations Manager will maintain the NYS AHEC System reporting calendar to ensure crucial time sensitive deadlines for HRSA & SDOH are met.

Additionally, the Business Operations Manager will oversee the annual records compaince for all of the NYS AHEC System to ensure all required docments and paperwork are completed timely, i.e., comletion of appropriate 990 forms for compliance with 501© 3 filing status. The Business Operations Manager will facilitate all of the logistical planning for the advisory board and executive council meetings in Albany, which includes but is not limited to vendor selection, hotel accomodations, travel arrangements, conference room reservations, recording minutes.

Minimum Qualifications

  • Excellent problem-solving skills and the ability to translate rules into outcomes.
  • Detail-oriented and willing to look for both small and large errors that could cause confusion or noncompliance.
  • Demonstrated ability to comprehend the grant as a whole and each subcontractor’s role in that context.
  • Experience working with subcontractors, measuring performance against the goals.
  • Experience with the subcontracting process including contract compliance and reviewing invoices for local, state, federal or foundation grants, preferred.
  • Excellent people skills including an ability to work with all levels of staff including entry level administrative assistants, AHEC Center Directors and large nonprofit CFOs as numerous individuals are responsible for the subcontractor billing functions of AHEC entities.
  • Knowledge of, or ability to learn accounting/other database programs like SUNY Report Center to track expenditures and budgets.
  • Experience with reporting to Federal/State funders of program outcomes.
  • Previous management experience, departmental operations experience
  • Knowledge of or experience with vendor contract negotiations.
  • experience with excel, access, publisher, powerpoint, word & outlook

Preferred Qualifications

  • Bachelor’s degree in Business, Finance or Management, or in lieu of degree 10 years of direct management/relevant experience
  • Management level experience in not-for-profit organization
  • Academic setting experience preferred, not required
