Departmental Overview

The Office of the Registrar, Academic Operations and Student Affairs (RAOSA) has primary responsibility for interpreting and implementing the academic policies of UC Berkeley Extension in the areas of enrollments, student conduct, exception request, classroom scheduling, recording of grades, and maintenance of course, section, and student records.

Increasingly, RAOSO plays a key role in continual process optimization and ongoing projects to support these endeavors. RAOSA also provides comprehensive support to students, prospective students, staff, instructors, and the general public.

Responsibilities

Under the direction of the Assistant Registrar, the Registrar Specialist 2 provides extraordinary insight and support to student inquiries regarding enrollment, grades, and other pertinent student record information. Applies professional student service-based concepts, to support the management of student records within the student information system. Acts as an essential point of contact and support for enrollment management and official student records. Applies the breadth of perspective to analyze and contribute to the optimization of all related matters.

Involves maintaining stewardship and integrity of student academic records, and course and classroom scheduling by managing and enforcing student and institutional academic policies. Interprets relevant regulations such as the Family Educational Rights and Privacy Act (FERPA) to ensure regulatory compliance and protection of student data. Provides services to students (prospective, current and former), parents, and the public and maintains collaborative relationships with faculty, staff and administrators. Utilizes and advances technology systems solutions and best practices.

  • Provides routine guidance and information regarding UC Berkeley Extension academic and administrative policy to current, prospective and former Extension students, staff and instructors regarding enrollment, registration, grading, and student record policies, procedures, and regulations. Coordinates resolution of student inquiries and needs that require collaboration and/or engagement with other UC Berkeley Extension offices or resources. Conducts follow-up on students' behalf as needed. Escalates more complex issues to unit lead.Facilitates communication between students and UC Berkeley Extension academic departments as needed to maximize effectiveness, student success, and retention.Utilize policy and administration knowledge to analyze and contribute to process and policy optimization.
  • Provides support and resolution to matters relating to program completion requirements, optimal system configuration, and optimization of academic and administrative operations that impact enrollment, student records and academic outcomes. Assist colleagues across Extension to interpret and apply necessary policies and principles with regard to academic integrity.
  • Assists in implementing registrar core functions related to reviewing and approving course section proposals, enrollments, final grade and student records processing, and course evaluations. Works to optimize various administrative processes related to student experience. Identifies issues and escalates as appropriate. Clearly communicates with students, staff, and instructors while ensuring the highest level of adherence to and execution of institutional rules and procedures. Monitors and tracks timely resolution to promote excellent communication and process support to all affected parties.
  • Manages enrollment processes, correspondence, and follow up concerning special enrollments such as through private educational loans, sponsored or complimentary enrollments, and discounted enrollments. Also manages the import of student, enrollment, and grade data for third-party partner programs.


Required Qualifications

  • Excellent verbal and written communication. Active listening skills, customer service orientation, and interpersonal skills.
  • Strong interest and evidenced background in optimizing efficiency.
  • Extremely sound and reasonable judgment in resolving issues, concerns and possible student conduct concerns or staff performance issues.
  • Ability to quickly learn and apply complex student service policies, UC standards, Federal guidelines and other related rules or regulations.
  • Ability to use discretion and maintain confidentiality.


Education and Training

  • Bachelor's degree in a related area and/or equivalent experience/training.


Preferred Qualifications

  • Working knowledge of UC Berkeley Extension academic and administrative policies, relevant federal regulations, and best practices for accurate student record-keeping.
  • Working knowledge of University policies, processes, and procedures and of Federal and California laws pertaining to the privacy rights of students and access to student information.
  • Ability to apply working knowledge of UC Berkeley Extension and University policies to individual situations in a diverse learning community.


Salary & Benefits

  • Non-exempt, paid hourly and bi-weekly.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $33.52 - $35.92 / hourly
