Provide complex administrative assistant support to law school faculty, staff and 15-30 adjunct faculty each semester. Work effectively with faculty and staff on confidential administrative assistant functions. Interact with administrators, faculty and staff in the School of Law as well as the entire St. Thomas community. Needs to comply with professional ethical standards, particularly confidential information. Provides backup support to other staff in the School of Law. Demonstrates independent decision making. Works effectively with limited supervision. Proactively supports department goals and objectives.
Provide complex administrative support to full-time faculty and adjunct faculty
Manage and maintain appropriate department data, files, and records
Act as resource for the learning management system (Canvas)
Compose, produce, copy, and scan documents
Provide administrative support to Director of Organizational Ethics and Compliance and Director of Global Outreach
Update and maintain program data, files, and records
Assist in the preparation of materials for meetings
Provide support for program events
Manage the reception area
Act as an initial welcome and resource to faculty, students, guests, administration, and staff
Provide information and directions for students, business & civic community
Provide strong ongoing public relations and assist in resolving problems
Coordinate financial administrative tasks.
Assist with accounts payable procedural tasks
Coordinate check requests, payments, and reconciliations
Assist with other miscellaneous financial administrative tasks, as needed
Maintain the faculty and supply office area
Ensure that materials and supplies for faculty and staff are always readily available
Oversee entire MSL 400 suite and faculty lounge, including copier
Assist with ordering of supplies, as needed
Assist with other miscellaneous administrative tasks, as needed
High school education or the equivalent
Two years of administrative support experience
Knowledge of computer application systems (Microsoft Word, Outlook, Excel, Word Perfect, Canvas)
