Assistant to the Department Head
WORK LOCATION: The Department of Entomology, LSU AgCenter, Baton Rouge, La. The Department of Entomology seeks to address questions and concerns involving insects and related arthropods, ranging from management of pest species to assessment of insect roles in natural ecosystems. The department’s research and extension function are supported by the LSU AgCenter. Classroom instruction is supported by the College of Agriculture and the LSU Graduate School. The department offers a vibrant scientific research environment and is home to 14 faculty, six research associates, 35 graduate students, and three administrative staff.
RESPONSIBILITIES: The Assistant to the Department Head plays a vital role as the departmental accountant, business manager, human resources coordinator, and lead administrative staff person. The incumbent supervises office operations, administrative staff, and oversees accounting, budget monitoring and development. The incumbent relieves the head of routine administrative matters affecting the department, and acts as liaison with public and private agencies, and LSU departments. The incumbent also assists the department head with academic, research, and extension reports.
The incumbent is responsible for complex financial accounting of a $12 million annual operating budget composed of state, federal, grant, gift, LSU Foundation, and other funds. The incumbent provides the department head with regular financial statements, ensures that accounts balance properly, and that all expenditures are charged to the correct accounts while adhering to LSU, AgCenter, and funding agencies’ policies. The incumbent sets fiscal performance objectives, develops operating budgets, prepares complex accounting reports for stakeholder, and confers with departmental faculty and staff regarding budget/accounting problem areas. Keeping up-to-date on all LSU and State of Louisiana laws and regulations in regards to the department, the incumbent makes recommendations for increased efficiency, and advises the department head on any necessary procedural changes.
Staff Oversight & Human Resources:
The incumbent directly supervises two to three classified employees and student workers. Responsibilities include: preparing annual performance evaluations for employees supervised; mentoring and supporting staff growth; and conducting searches when necessary. The incumbent oversees all Human Resources operations for the department, including visa processing, payroll, time-reporting, hiring, job searches, terminations, etc. There will be other miscellaneous duties involved as determined by the department head.
QUALIFICATION REQUIREMENTS: A baccalaureate degree in Business, Accounting or related field is required. Other degrees may be accepted if combined with at least four years of closely related work experience. Demonstrated supervisory experience is strongly desired. Preferred candidate must have excellent management, organizational and communication skills, accounting experience, human resource experience, and working knowledge of computer software programs such as: Microsoft Word/Excel. Additional Qualifications Desired: Previous professional work experience in university environment is highly valued. Additionally, demonstrated success in budget development, fiscal management of multiple grant funds, and financial reporting are highly sought qualifications. Proficient to excellent understanding of LSU Workday preferred.
SALARY AND BENEFITS: Salary will be commensurate with education and experience. The LSU AgCenter has an attractive benefits package with a wide variety of benefit options.
