Job Summary:

Position Purpose and Overview
The Verifications Assistant for the Registrar's office has three primary responsibilities. First, the Assistant processes and fulfills certifications for Veterans Affairs (VA) education benefits. Second, the Assistant processes and fulfills enrollment verification requests for current students, alumni, and third parties. Third, the Assistant processes pending enrollment and degree verifications with the National Student Clearinghouse. The Verifications Assistant works closely with the Assistant University Registrar and collaborates with colleagues in the Registrar's Office and Strategic Enrollment Management.
Accountabilities
The Verifications Assistant reports to the Assistant University Registrar.

Job Responsibilities:

1. Serve as a Veterans Affairs Certifying Officer. Assist new and current students with the VA educational benefits process. Process VA enrollment certifications. Maintain contact with VA processing and liaison offices. Assist with the VA program certification process, process refunds to the VA, communicate policies to students receiving VA educational benefits. Work closely with the Assistant University Registrar on certification calculations and submissions. Participate in state and federal VA audits.
2. Process and fulfill enrollment and degree verification requests for past and current students, including earned units, GPA, and degrees earned.
3. Generate correspondence to federal, state, and city agencies, foreign embassies, and executive search firms regarding students past and current educational background. Serve as liaison to federal and state agents requesting verifications in-person.
4. Calculate and submit Cal Grant GPAs to California Student Aid Commission on behalf of students.
5. Primary contact for students participating in the San Francisco ROTC Consortium Program. Register consortium students and maintain consortium records. Send transcripts to consortium students home institutions at the end each semester.
6. Process and certify students in-school deferment forms for loan deferments. Act as a liaison between lenders and USF, and between the National Student Clearinghouse and students.
7. Process pending degree and enrollment verifications with the National Student Clearinghouse.
8. Verify authenticity of student diplomas.
9. Monitor and respond to requests and inquiries sent to verifications@usfca.edu and veterans@usfca.edu.
10. Assist with responding to requests and inquiries sent to other Registrar email accounts.
11. Provide verification information to the USF Alumni office and other university offices as appropriate.
12. Collaborate with Financial Aid and Student Account staff on VA and general student financial matters.
13. Participate in continuing student registration, late registration, and new student registration periods.
14. Assist with processing of Registrar forms, including, but not limited to, add/drop changes, change of grade, and change of personal data.
15. Participate in the Commencement ceremonies.
16. Participate in the purging and archiving of academic records.
17. Interpret university policies and procedures, advise students, alumni, staff, and faculty on matters pertaining to academic records and verifications.
18. Maintain inventory of supplies and forms needed in the verification unit.
19. Assist in the scheduling, training, and supervision of student assistants.
20. Create and document relevant procedures.
21. Collect and analyze data in areas of responsibility; develop and present data to managers.
22. Serve on committees and task forces as appropriate.
23. Serve as alternate to the Transcript and Records Coordinator during periods of vacancies, vacation, and illness.
24. Perform other duties as assigned.

Minimum Requirements:

1. Post high school education preferred.
2. Training or experience equivalent to five years of increasingly responsible work in higher education or related field.
3. Prefer at least 2-3 years of progressive responsibility working in a Registrars office, particularly with Banner.
4. Advanced desktop computer skills required.
5. High level of attention to detail required.
6. Familiarity with FERPA and student records privacy issues.
7. Ability to work independently, effectively, and collegially with faculty, deans, staff, and senior administrators.
8. Excellent oral and written communication skills.
9. Occasional evening and weekend work expected.
10. Respectful, friendly, and accountable.
11. Excellent customer service skills, problem-solving, and multitasking skills.
12. Understanding of and commitment to USFs vision, mission, and values.
