The Receptionist/Administrative Assistant will support the Executive Assistant to the Chancellor, and as needed support the Chancellor’s Events Coordinator. Strong organizational skills are required, along with attention to detail, discretion and exemplary customer service. Strong interpersonal skills and the ability to work effectively and professionally with a wide range of constituencies. Organize workflow and coordinate activities. Must have the ability to relate well with individuals from varying cultures including but not limited to students, parents, university personnel and outside representatives. Must work well under pressure with frequent interruptions of work. Ability to assimilate information rapidly and access any impact to the university. Pleasant telephone voice and office demeanor.
Essential Job Functions, Duties, or Accountabilities:
Greet and welcome visitors to the Chancellor’s Office and provide receptionist duties such as answering phones, transferring calls, and taking messages. Support the Executive Assistant to the Chancellor with scheduling meetings, processing invoices, filing and special projects as needed.
Secondary Job Functions or Duties:
Assist with set up meetings (teleconference and video conference). Prepare orders for office supplies, forms, printed materials and engraved items.
Distribute mail, assist with special events, run errands on and off campus.
