Position Summary

The Departmental Research Administrator provides sponsored award support to Villanova University's Principal Investigators (PIs) in applying for and managing sponsored projects. She/he protects the University's assets by serving as first point of financial compliance review for VU sponsored award activities. He/she ensures that sponsored award activities comply with federal and sponsor requirements, as well as institutional policies and procedures. This is accomplished by having a thorough understanding of federal regulations and general sponsored award policies, as well as Villanova University policies and procedures that govern sponsored award activities. The position will support a portfolio of investigators across campus and will involve working out of the various departments during the week.

Duties and Responsibilities

  • Provide guidance to PIs on federal regulations as they relate to sponsored award implementation; refer the PI to Office of Grants & Contracts (OG&C) as needed.
  • Maintain regular contact with PIs within assigned portfolio of sponsored projects, and with local representatives (Deans, Chairs, College Finance Managers.), to ensure proactive management of applications and awards.
  • Prepare administrative components of applications, including all required internal documents, correctly and completely; including sub-award and/or subcontract documentation.
  • Prepare internal and sponsor-required budgets completely and accurately.
  • Support PI in creation of Cayuse proposal record as well as application form completion and uploading documents to sponsor website.
  • Liaise between PIs, OG&C, and compliance units (IRB, IACUC, COI, Export Control, and IBC); ensure that compliance trainings and certifications are complete.
  • Performs a monthly financial review of sponsored awards to ensure all charges are allowable, allocable, reasonable, and necessary.
  • Create a monthly financial projection to enable the PI to make informed decisions regarding award activities per budget constraints.
  • Support PI in managing reporting due dates and preparation of NCEs, advance account requests and pre-award spending requests.
  • Review sponsored award related expenditures in Concur to ensure they are allowable, align with grant activities, and are within sponsored award budget.
  • Review and approve subcontract invoices for accuracy.
  • Tracks Key Personnel effort against commitments.
  • Assists in the preparation of Cost Transfer Request Forms, Personnel Action Form (PAF) requests and Labor Distribution requests to ensure sponsored award expenditures (and associated effort) are accurately captured.
  • Performs closeout review at award end date to ensure all sponsored award expenditures are accurately reflected in the Villanova financial systems; notifies OG&C of concerns.
  • Notify OG&C of potential audit risks.
  • Supports content development for community trainings on sponsored award issues.
  • Support other sponsored award related activities as needed.
  • Maintain knowledge of Villanova policies, sponsor guidelines, and federal regulations specific to sponsored programs. Ensure compliance with same.
  • Maintain working knowledge of institutional and sponsor-required rates for F&A, fringe, salary caps, etc.
  • Meet all ORA requirements, including training requirements.
  • Maintain proficiency in internal and sponsor-required systems, including internal systems, grants.gov, and other sponsor systems as required.
  • Perform other duties and assist with projects as assigned.


Minimum Qualifications

  • Bachelors degree required,
  • At least 3 years experience working directly with sponsored awards and contracts. Thorough understanding of federal grant regulations and their implementation in the higher education setting. Ability to understand contractual requirements. Ability to apply federal and sponsor regulations to financial transactions, sponsored award budgets and sponsored award proposal content.
  • Attention to detail required. Excellent written and verbal communication skills; ability to translate complex requirements into simple and actionable recommendations.
  • Friendly and supportive demeanor and ability to communicate clearly and professionally.
  • Proficiency in MS Office Suite applications is necessary.


Preferred Qualifications

  • MS or CRA certification preferred.
