Job Summary:

This position reports to the Associate Director of Financial Aid.
The Financial Aid Assistant is a full time, year round position and is involved in all aspects of financial aid administration including but not limited to counseling of students, determining students' needs, verification and packaging, and loan processing. The Financial Aid Assistant provides financial aid counseling and information to prospective and current students in a fast paced team environment while complying with federal and state regulations as well as institutional policies. Takes appropriate actions to support a diverse workforce and participates in the College's efforts to create a respectful, inclusive, and welcoming work environment.

Job Responsibilities:

Principal Responsibilities:
Financial Aid Application Review:
Counsels prospective and current students regarding financial aid eligibility, pertinent school policies and available funding.
Uses judgment and problem solving skills to determine financial need for awarding.
Follow up on incomplete or missing financial aid information and verifies information for students selected for verification.
Reports necessary information/changes via Department of Education information systems.
Communicates effectively and consistently with pertinent internal department members from admissions, business office and registrar etc.
Review selected files for accuracy based on tax return review and application received
Modifies packages based on enrollment changes, additional funding etc. while communicating those changes to students.
Represent the department at special events such as orientations, financial aid workshops, financial literacy workshops etc.
Assist in compliance with federal requirements for financial aid recipients including assisting in the review and follow up on federal financial aid recipient requirements (e.g, C-code reviews)
Financial Aid Front-Line:
Receive and respond to phone and email inquiries, and track associated documents
Meet with students and families in-person to answer questions and advise on the financial aid application process, financing options
Financial Aid Processing:
Process federal Parent PLUS and Grad PLUS loan requests
Process intent to enroll forms and enrollment change forms
Assist Associate Director with awarding and reconciliation of Cal Grants
Adjust federal loans as requested (e.g. process intent to enroll or enrollment change forms)
Assist Associate Director with private scholarship verification, awarding and reconciliation
Assist Associate Director with private loan reconciliation
Verifying the completion of Nursing Promissory Notes
Verify the completion of federal direct loan Entrance counseling and Exit counseling
Coordinates incoming documents via faxes, mail and office front counter
Hire, train and supervise student assistants
Other duties as assigned

Minimum Requirements:

High school diploma or equivalent or Associates degree
One to three years of related experience
One to three years in a customer-focused environment
Commitment to or experience working with a diverse community
Demonstrated strong written and verbal communication skills
Proficiency in MS Office and the ability to learn new software programs
Excellent interpersonal, time management, organizational and customer service skills
Ability to take initiative, and work independently and collaboratively
Bachelors degree
Fluency in a foreign language
Experience working with and sensitivity to the needs of students from diverse and economically disadvantaged backgrounds
Familiarity with financial aid management system, student information system and/or document imaging system
Knowledge of financial aid regulations
